The Export and Import (EXIM) Code is a mandatory 13-digit identification number issued by the Department of Customs (DoC) under the Ministry of Finance, Government of Nepal, for any company, firm, or industry engaging in cross-border trade (import or export of goods).
Timely renewal of the EXIM Code is essential for ensuring the continuity and legality of international trade operations. Failure to renew can lead to suspension or cancellation of the code, resulting in significant business disruption and fines.
Validity and Renewal Period
The EXIM Code is generally valid for one fiscal year in Nepal.
-
Annual Renewal: It must be renewed each fiscal year.4 The due date is typically before the end of the current fiscal year (i.e., before the end of Asar/Ashadh).
-
Multi-Year Renewal: Businesses have the option to renew the EXIM Code for up to five fiscal years at once by paying the lump-sum renewal fee and submitting the required documents for the entire period.
-
Automatic Cancellation: The code is automatically cancelled if it is not renewed for five consecutive years from the date the renewal was due.
Renewal Process: Step-by-Step
The renewal process is primarily conducted through the online platform managed by the Department of Customs, known as the EXIM Service Portal, which is part of the Nepal National Single Window (NNSW) system.
-
Access the EXIM Portal: Go to the official EXIM portal on the Department of Customs website.
-
Initiate Renewal: Navigate to the dashboard and select the option to “Renew EXIM Code.”
-
Complete the Form: Fill in the required fields, including the fiscal year for renewal and details like the type of trade (Export Only, Import Only, or Export/Import). In the remarks box, you may simply type “EXIM code Renewal.”
-
Document Upload: Upload the scanned copies of the mandatory documents, primarily the Tax Clearance Certificate.
-
Note: The system often checks the Tax Clearance Certificate data directly with the Inland Revenue Department (IRD). If found, a confirmation message will be displayed; otherwise, you will need to upload the manual certificate.
-
-
Payment: Select the payment type:
-
e-Payment (Online Payment): Use the ConnectIPS option to pay the renewal fees and any applicable fines instantly.
-
Bank Deposit: Select this option, generate a transaction code/voucher, pay the fee at the specified bank, and then upload the bank deposit voucher.
-
-
Submission and Physical Document Submission: After successful payment and online submission of the application, a physical copy of the application, payment voucher, and any other required documents must be submitted to the designated Customs Department or customs office.
-
Verification and Approval: The Department of Customs verifies the documents. Upon approval, the EXIM Code will be officially renewed for the selected fiscal year(s). You will typically receive an email notification with the updated certificate.
Required Documents for Renewal
While the process is moving towards a paperless system, businesses should prepare the following key documents:
-
Tax Clearance Certificate of the last fiscal year.
-
Company/Firm Registration Certificate (renewed, if applicable, from the Department of Commerce or Industry)
-
Renewal Fee Payment Receipt/Voucher.
Renewal Fees and Fines
The basic renewal fee is NPR 1,000 per fiscal year (but may vary based on official updates). Fines are levied for late renewal:
| Renewal Period | Fine (Approximate) | Total Fee (Basic Fee + Fine) |
| Before Asar/Ashadh end (Fiscal Year End) | No Fine | NPR 1,000 |
| Before Asoj/Ashoj end | NPR 500 | NPR 1,500 |
| After Asoj/Ashoj end (Within the next fiscal year) | NPR 1,000 | NPR 2,000 |
| After one fiscal year (Within 5 years) | NPR 10,000 + accumulated renewal fees | Varies |
Timely renewal before the end of the fiscal year is highly recommended to avoid accruing substantial fines.
The government continually updates the procedures and fees. Traders should always verify the latest requirements and forms on the official website of the Department of Customs (www.customs.gov.np) or the Nepal National Single Window portal (nnsw.gov.np) before starting the renewal process.
